Terms & Conditions

Outlined below are the terms and conditions by which Clark Executive Travel conducts business with our Clients, Passengers, and Bookers.

1.1 Clark Executive Travel is committed to adhering to the principles of GDPR legislation in the United Kingdom and ensuring the protection of your personal data.

1.2 We process all personal data lawfully, fairly, and transparently. Data is collected for the explicit purpose of providing our services and is limited to what is necessary. We take all reasonable steps to ensure data is accurate and secure, and it is never kept for longer than required.

2.1 A guide price is provided at the time of booking via our online calculator. This is based on the estimated mileage of the most efficient route and the total time incurred by the driver for their complete round trip (from base and back to base).

2.2 All journeys must be pre-booked in advance. The person making the booking must be 18 years of age or over.

2.3 The client is responsible for ensuring all booking details (addresses, times, contact information) are correct. Clark Executive Travel cannot be held liable for any mistakes made by the client at the time of booking.

2.4 Amendments to the journey, such as additional stops, mileage, or waiting time, may be fulfilled subject to availability and will incur extra charges. Please contact us to amend a booking.

2.5 Clients must book airport transfers in accordance with check-in times and guidelines provided by their airline, allowing for potential traffic delays, especially during peak hours.

3.1 All charges are quoted in GBP (£). The price provided by our calculator is a guide fare. The final price is based on the actual mileage and time of the completed journey.

3.2 A grace period of 15 minutes waiting time is included free of charge for address collections. For airport and seaport collections, 60 minutes of free waiting time is included from the time the flight or ship arrives.

3.3 If a passenger does not appear at the agreed collection time (a "no-show"), waiting time and car park charges may apply. If we cannot make contact with the client after a reasonable period, the booking will be cancelled and all monies paid will be non-refundable.

3.4 A 100% surcharge applies on Christmas Eve (from 17:00), Christmas Day, Boxing Day, New Year's Eve (from 17:00), and New Year's Day, unless otherwise agreed in writing.

3.5 Any car parking, toll, or congestion charges incurred during the journey are included in the final price.

4.1 Cancellations made more than 24 hours before the scheduled collection time will receive a full refund.

4.2 Cancellations made less than 24 hours but more than 4 hours before the scheduled collection time will be subject to a cancellation fee equivalent to 50% of the guide fare.

4.3 Cancellations made less than 4 hours before the scheduled collection time, or in the event of a client no-show, will be charged 100% of the guide fare.

4.4 In the unlikely event that we are unable to complete a booking due to circumstances beyond our control (e.g., extreme weather, vehicle breakdown), we will endeavour to make alternative arrangements. If we cannot, a full refund will be issued. No further compensation will be paid.

5.1 The chauffeur will drive at safe and sensible speeds in accordance with road conditions and legal speed limits at all times.

5.2 Clark Executive Travel maintains a strict non-smoking and non-vaping policy in all vehicles.

5.3 UK law requires that seat belts must be worn at all times. The client agrees that all passengers will comply.

5.4 We reserve the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs, or whose behaviour poses a threat to the chauffeur, the vehicle, or other passengers.

5.5 No animals are permitted in any vehicle, with the exception of certified service dogs.

6.1 The client is responsible and liable for any damage they or their party cause to the interior or exterior of a vehicle. The cost of repair or valeting required will be charged to the client.

6.2 All client property is carried at their own risk. Clark Executive Travel shall not be held responsible for any loss or damage to such property.

6.3 Please ensure all belongings are removed from the vehicle at the end of the journey. We will endeavour to return any lost property, but a delivery charge may apply.
